Data controllers MoodSpace

MoodSpace was developed by the Support Centre Inclusive Higher Education (SIHO) on behalf of Vice Minister-Pesident Ben Weyts. Legally and administratively, SIHO is part of Artevelde University of Applied Sciences. The data provided by participants within the framework of the online programmes are processed by SIHO - Arteveldehogeschool and by the technical administrator of MoodSpace.

What personal data does Moodspace process?

Visit MoodSpace anonymously

You can visit the website MoodSpace without disclosing who you are as you are not asked to provide personal information to access it. You will not need an account to visit the info library, connectedness page, worried about someone or do the online selftest/ mental health check. This self-test is completely anonymous. You will only need an account to start with (one of) the online self-help programme(s).

Creating an account

To get access to the self-help programmes on MoodSpace, you are asked to register and create an account. To do so, you must be at least 18 years old and currently studying at a college or univeristy.

To create an account, please visit the registration page. Here, you will be asked to fill in your e-mail address and a password, next just click ‘activate account’ to get started. This e-mail adress is required in case you need to reset your password, for instance.

What personal data do we process/collect?

The self-test / Mental health check (anonymous):

  • socio-demografic data such as age, gender and field of study

The online self-help programmes:

  • e-mail address and password

  • data related to study habits

  • data concerning well-being related to study habits

The newsletter:

  • e-mail address

We only process this data if you explicitly gave permission for this. You have the right to withdraw your consent at any time.

Why do we process this data

  • To provide the necessary service

  • To ensure the performance of the requested services

  • To be able to offer the right information and advice.

SIHO only processes this data if you explicitly gave permission for this. We never pass on your contact details to third parties

Secure storage & access

MoodSpace data Collectors use all and various security technologies and measures to appropriately protect your data from unauthorized access, use, loss or disclosure.

The website MoodSpace is programmed on a separate, secure server. All data exchanged between your personal, private use of the website and the server is encrypted before it is sent and is only decrypted on arrival (Secure Sockets Layer). You can tell that you are working on a secure website by the fact that 'https' is displayed in the address bar of your internet browser. A symbol (a padlock) will also appear in the internet browser, indicating that a secure connection is active.

This data is stored and hosted in Compbell’s data storage centre (Belgium). Here it is stored in an encrypted form.

Accessing, changing or deleting data

At MoodSpace you are in control of your own data. This means that it is your right to:

  • Access your data: check which data is collected and processed by SIHO

  • Change your data: e.g. notify SIHO about a change in e-mail address

  • Delete your data: let SIHO know that you no longer agree to them storing your data

As a participant you have to right to get a copy of your personal data and to request that your data is corrected if this information turns out to be incorrect.

As a participant you can also have your data deleted. In that case, SIHO will respond to your request within 30 days. If many requests are submitted simultaneously, this period may be extended to 60 days.

We do everything we can to ensure a correct policy, however, if you believe that your data is being treated incorrectly, you can file a complaint with the Privacy Commission. How to go about this is explained on their website: Vlaamse Toezichtcommissie.

SIHO never passes on your personal information or data to third parties. Are you no longer actively visiting MoodSpace? Your data will be stored for a maximum of 2 years, after which it will be deleted.

Cookie policy

MoodSpace uses cookies to improve your online experience and get more information on how the website works. This way, we can tailor the content of the website to your needs and preferences.

  • Cookies are small pieces of information that are sent through your browser and stored on the hard drive of your computer or mobile device. This information is sent back to the website administrator each time you visit.

  • SIHO consults the website’s user statistics via Google Analytics. A number of cookies are loaded for this when you visit the site. Through these tracking cookies, SIHO can track how many visitors visit the website and collect certain demographic data. These statistics provide SIHO with insight into the use of the website and enable SIHO to improve it for the end user. Google Analytics is solely used on the public, informative pages of the website. Google Analytics is not used in the self-help programmes tools.

  • You can disable the cookies permanently or temporarily via the options manager of your internet browser. You have the option to configure your browser to warn you whenever cookies are created or to prevent them from being created. Refusal can, however, lead to a less effective operation of certain parts, features or services of the website. You may experience a loss of ease of use. We therefore recommend that you keep cookies enabled in your browser.

The provided information is used first and foremost to offer you some tailored advice. You can view your information, tips and results every time you visit the dashboard.

The stored information, is only accessible by the few staff members in SIHO who are working on MoodSpace. They can use this informatio to improve the website and will treat all data confidentially.

We do not disclose the information provided by you at any time. We will not publish it nor pass it on to others. Only our IT supplier who manages the website for us has access to the data required for maintaining the website. We will not violate your privacy.

Policy reporting & research (h3)

Each year, SIHO informs the Flemish government about the MoodSpace website by means of a report. This report entails information about how many students visit the website, which programmes they go through, which exercises they make, how many of them take the test, etc. This report is void of personal information (such as names, email addresses...).

In addition, the Support Centre for Inclusive Higher Education does additional research to study the effectiveness of the provided information and programmes. This way it wants to ensure that MoodSpace is in fact helping students and boosting their resilience. We do this in close collaborating with different centres for research (universities and colleges) that have developed some of the MoodSpace programmes.

These studies are supervised by the responsible ethics committees. Only anonymised data is used for these studies which means that researchers will never see names, e-mail addresses or other personal data.

The content and exercises on MoodSpace have been selected with great care. We have worked hard to make sure that the information on MoodSpace.be is reliable and helps you to move foreward.

It is important to realise that the information on the website is intended for students (aged 18 years and over) who would like to be more comfortable in their own skin or feel like they can use a mental health boost. The website provides support but is does not offer treatment for serious problems. If you are experiencing serious difficulties, it is important en highly advisable that you contact a professional help provider. The website MoodSpace.be is created by the Support Centre for Inclusive Higher Education. SIHO is liable for any damage which may occur trhought the use of the information on the website and is not responsible for young people who incorrectly confirm to be 18 years or older on MoodSpace.

MoodSpace features links to several other websites. These websites have also been selected with care, however MoodSpace is not reliable for the information they contain. The fact that we have included the link on MoodSpace, does not mean that we approve of all the information it contains. Moreover, it is possible that the website seizes to exist over time. To conclude, us mentioning the website, does not mean that we are collaborating with the creators of the websites.

The information on MoodSpace will be altered or updated regularly. SIHO is entitled to improve, update or change the website at any time.
